Privacy policy

This privacy policy applies to the websites of House of Talents BV, located at Beneluxpark 26 / 046, 8500 Kortrijk, with KBO number 0555.937.484, and its affiliated and associated companies (as defined in Articles 1:20 and 1:21 of the Code of Companies and Associations), including House of Talents and its legal entities.

This policy provides insight into the personal data we process from you as a user, the purposes for which we process this data, and the manner in which we handle these personal data. We therefore recommend that you read this privacy policy carefully.

House of Talents considers the careful handling of personal data a priority. Therefore, personal data are processed and secured with care by us. In these processes, we adhere to the requirements set by the GDPR and the Personal Data Processing Act of July 30, 2018.

This Privacy Policy may be regularly adjusted or updated. We kindly request that you consult this Privacy Policy regularly, so you always have the most recent version.

A. What personal data do we process?

When you apply for a vacancy via our websites or in another manner, we request your approval for processing your personal data to enable us to assist you in finding a suitable job.

A.1. When you use our websites, we collect:

Technical information about your device, such as your IP address, browser type, geographical location, and operating system; information about your browsing behavior, such as the time you spend on a page, which links you click, which pages you visit, and how often you visit a particular page, whether or not through cookies (see Cookie Policy).

A.2. When you fill in a contact form or subscribe to a newsletter, event, or webinar, we may collect the following:

Name, email address, postal address, telephone number; your current employer and your current position; information about your education and work experience; your curriculum vitae, cover letter; the log data of your message (date, time).

A.3. When we consider you as a talent, we may collect:

Notes taken during the recruitment process; profile name and password for our online portal; evaluation forms, recommendations, results of tests and assessments; payroll slips; external and internal payroll information; the log data of the conversation (date, time, with whom you communicate, etc.); other personal data that you provide to us.

**A.4. House of Talents also processes public data, namely data found in public databases such as the crossroads bank of enterprises, data that you have made public on a website, data that are generally known or have appeared in the press.

**A.5. Additionally, we use cookies for our website. You can find more information about this in our cookie policy.

A.6. We do not use automated data processing or profiling.

B. Purposes and legal grounds for the processing

We process your personal data to provide you with requested information, products, and services in a personal and efficient manner.

**B.1. If you contact us via the contact form with a question or comment, we process your personal data based on our legitimate interest (to be able to answer your question) on the legal ground of the performance of a contract (if you wish to make use of our services).

B.2. When you are looking for a job, we process your personal data to:

Help you find a suitable job; communicate with you about open positions and the progress of possible applications; provide your data to suitable future employers as part of the application process; deliver notifications about open positions that we think might interest you; assist and advise you in your search for a new job; inform you about general trends in the job market; request your feedback on our services and fulfill our obligations to our clients when you are offered a job.

We do this based on the legal ground of the performance of the contract. We have made it our duty to match the right candidate to the right vacancy and client.

B.3. If you ask us as a client to collaborate with you, we process your personal data to:

Provide you the requested service; deliver reports about the work we perform for you; advise you regarding relevant services and products; inform you about general trends on the job market; request your feedback on our services.

Here too, the legal ground is the performance of the contract.

**B.4. In addition, we process your personal data to comply with legal obligations or to respond to reasonable requests from competent law enforcement services or representatives, the judiciary and government agencies or organizations, including competent data protection authorities.

We do this based on a legal obligation.

**B.5. We process your personal data to perform statistical analyses aimed at improving our websites, products, and services or developing new products and services.

This is based on our legitimate interest.

B.6. Finally, we may also process your personal data in the context of events, whitepapers, webinars, or for direct marketing purposes.

In these cases, we rely on the legal ground of consent. This consent is always requested by House of Talents and its entities at the moment (and on the website location) where they wish to collect data on the basis of consent. If your personal data are transferred to us by a third party in the context of an event (for example, because you have been suggested as a potential sponsor by a participant in one of our competitions), we will verify as soon as possible whether you have given your prior consent.

C. Transfer to third parties

We do not provide or sell personal data to third parties without your consent.

Exceptions to this rule are the exchange between companies affiliated with House of Talents, based on the legitimate interest of House of Talents. Also, as part of the performance of your contract with House of Talents, a transfer of personal data may occur, as well as in the case of a legal provision or judicial decision. Finally, it may also be that House of Talents transfers personal data in the context of a merger or acquisition. In such a case, however, everything necessary is done to keep this transfer as minimal as possible and as secure as possible.

House of Talents may also engage third parties who, under its supervision, perform certain processing of personal data mentioned in this privacy policy or help facilitate them. These third parties always act under the responsibility of House of Talents and are not allowed to perform their own processing on personal data. These parties are also always bound by a specific processing agreement.

D. Security of your personal data

House of Talents guarantees a quality level of data and database security by taking all necessary & reasonable technical and organizational measures. We strive to evaluate these measures at regular intervals and adjust them if necessary. House of Talents therefore accepts no liability, neither for direct nor indirect damage that results from the unlawful processing of your personal data by a third party.

E. Retention period

House of Talents will store and process your personal data for a period necessary for the performance of the contract and in function of the purposes of the processing, as described above.

A suitable profile is indeed a dynamic factor, as you as talent or client grow and thus tap into a new arsenal of functions.

Your personal data are therefore stored as follows: for the duration of the services according to the purposes described above, there is an active retention period and as soon as there is no longer any contact, a passive retention period of 5 years.

F. Your rights

When processing your personal data, you have various rights. When we ask for consent for a processing, you can withdraw that consent at any time.

We always try to respond to your request, and if possible, to handle it within a month of receipt.

To handle your request concretely and correctly, we ask you to be as specific as possible when directing your request. Additionally, we must be able to verify the identity of the requester. Please also include a copy of your identity card with your request.
