Job description

As a payroll officer you will be responsible for all payroll related activities, the administration of extra-legal benefits and social administration. Additionally, you will act as first point of contact for all payroll & administration related questions and will provide overall HR administration support to the Talent Development Director and to the office overall.

This role is based in Brussels and joins a Talent Development team comprising an HR Director and an HR Associate. Although it is expected the role can predominantly be performed remotely, you will be expected to visit the FH Brussels office on occasion and when asked. 

Key Responsibilities

  • Lead and deliver the monthly payroll operation.
  • Lead the tracking and reporting of annual holiday entitlements and sickness leave.
  • Act as first point of contact regarding payroll & administration related questions.
  • Support the recruiter function to ensure contracts are issued and all reference checks for new joiners are completed in a timely manner.
  • Lead conversations with external providers around insurance and other employee related requirements.
  • Maintain all electronic personnel files, including setting up new files for joiners and archiving leavers and maintaining global reporting requirements. 
  • Prepare draft letters for freelance, FTC and permanent offer letters and contracts as well as probation confirmation, references and other paperwork as needed.
  • Oversee the smooth onboarding of all staff in relation to immigration and registration requirements and associated paperwork completion.
  • Support the TD Director to complete audits of, and changes to, HR and benefit data to support best practice in the hybrid office / virtual working world.
  • Support other ad hoc projects as appropriate. 
  • Continuously keep current with the most recent developments and payroll legislation.


  • Strong experience with the monthly payroll.
  • Strong written and oral communication skills in English and Dutch or French. 
  • High level of attention to detail with the ability to multi-task and prioritize.
  • Friendly and approachable with the ability to develop trusting and respectful working relationships.
  • Discrete and integrity is in your roots.
  • Good knowledge in Belgian social and labor legislation.
  • Experience of employment law and employee relations best practice.
  • Ability to use own initiative and work autonomously.
  • Tenacious, assertive and able to influence and negotiate whilst maintaining effective relationships. 
  • Pragmatic, service minded and acts in the best interests of the business at all times.
  • Good working knowledge of MS Office, including Excel.
